Notification of unsealed or improperly sealed envelopes

North Bay, ON – Oct. 17, 2023 – The City of North Bay is informing the public about a recent issue with its mail deliveries.

The City has discovered a problem with its envelope-sealing machine, which has resulted in the delivery of an unknown number of unsealed or improperly sealed envelopes. This also affects some mail from the District of Nipissing Social Services Administration Board (DNSSAB) and Nipissing District Housing Corporation (NDHC), which, as tenants of City Hall, use this mailing service.

At present, the City has no knowledge of any unauthorized access to personal information during the mailing process.

In accordance with the Municipal Freedom of Information and Protection of Privacy Act, the City has notified the Office of the Information and Privacy Commissioner of Ontario and has taken immediate measures to address the envelope-sealing machine issue. A review of protocols is also underway to prevent similar incidents in the future.

The City is treating this matter seriously and apologizes that this incident occurred. It also wishes to reassure the community that safeguarding entrusted information remains a top priority.

In accordance with Ontario’s privacy legislation, the City would also like to notify members of the public that they are entitled to make a formal complaint to Ontario’s Information and Privacy Commissioner.  The link for the website of the Ontario’s Information and Privacy Commissioner’s website is as follows:  https://www.ipc.on.ca.
